FOR COACHES

Software for coaches: booking, payment and the agreement in one place

Aventide is software for coaches. Your life coaching clients book a session, pay in full or a deposit, answer your intake questions, meet you on Zoom or Google Meet, sign your coaching agreement and find what you share in their own portal. One tool for every business you run, instead of a calendar, a contract PDF, a Notion form and a Stripe link.

IN YOUR WORDS

Why does onboarding one coaching client take five tools?

"My onboarding process is a discovery call, a contract PDF, an intake form in Notion, and a first session."

A coach writing on Coaching Briefs, a coach blog, April 2026.

"I forewent a contract … Now, I view it as an important formality that strengthens my client relationships."

Jori Bell, product coach, on her business stack, January 29, 2024.

Both describe a coaching business held together by hand: the booking, the agreement, the intake form and the payment each live somewhere different, and joining them up is work nobody pays for. When it takes too long, something gets skipped, and often it's the agreement.

STEP ONE

Clients book and pay before the first session

Share your booking page and clients pick an open time. They pay in full or a deposit when they book, through your own Stripe account, and Aventide adds no fee of its own. Each booking type has its own price and rules, so a paid first session and a free discovery call can sit side by side. Clients can reschedule or cancel within the notice you set, and they get an email confirmation either way.

STEP TWO

Intake answers before you meet, and a link for the call

Give a booking type a form of intake questions: short answers, a paragraph, a choice from a list, a date or a tick box. Clients answer as they book, so you read their goals before the first session instead of chasing a Notion form. It isn't built for health records or clinical notes. The booking carries a Zoom or Google Meet link and syncs to your Google Calendar. If you use Fireflies or Granola, your meeting notes come into Aventide afterwards.

STEP THREE

The coaching agreement, signed on your own page

Start from the built-in Coaching Agreement, one of seven contract templates. It covers 24-hour cancellations, confidentiality, consent before a session is recorded (AI note-takers included) and a line that coaching is not counseling. Aventide's AI can fill it in from your notes. Anything Aventide drafts for a client waits for your approval; automations you switch on run on their own. You countersign, then the client signs on your branded page. Templates are starting points, not legal advice.

STEP FOUR

What you share lives in their portal

Each client gets a portal in your branding. The documents and files you share with them stay there, so a welcome note, a worksheet or a session recap isn't lost in an email thread. Invoices go out from the client's room, payments are tracked, and they can go out through QuickBooks Online if you use it. Each morning the Daily Brief lists what needs you: today's sessions, drafts waiting for your approval and invoices that are overdue.

Coaching is one of the trades on Aventide for people who sell sessions. The booking page with payment takes the fee or a deposit when a client books, and the Daily Brief lists each morning’s sessions, the drafts waiting for your approval and any invoice that is overdue. For the agreement itself, read what a coaching agreement should include.

QUESTIONS

Questions about coaching software

What software is best for coaches?

Paperbell suits coaches who sell packages, with payment plans and a portal where clients buy more sessions ($97 a month billed monthly). CoachAccountable adds worksheets and sessions-left tracking, priced by active clients ($70 a month for 10). Prices checked October 18, 2026, on Paperbell's and CoachAccountable's pricing pages. Aventide suits coaches who want booking with payment, the agreement and invoices in one place, for one business or several: $39 a month with every feature, unlimited team members, and 0% of client payments to Aventide.

We make Aventide, so weigh our take accordingly.

Can I sell life coaching packages with sessions left in Aventide?

Yes. A coaching package is an offer saved as a Package of sessions: clients buy it on your booking page with their first session, each later session uses one, and you and your client both see how many are left. You can also book a client every week or every two weeks in one go. Paperbell and CoachAccountable also track packages (as of October 2026). Paperbell is $97 a month; CoachAccountable prices by active client ($70 a month for 10) and includes unlimited coach accounts (checked October 18, 2026). Aventide is $39 for every business you run, with unlimited team members and no client cap.

What software handles an executive coach's contracts, scheduling and invoices?

Aventide covers all three for executive, business and career coaches. Send a proposal, then the Coaching Agreement or the Consulting Agreement for e-signature. Clients book from your booking page, and you invoice from each client’s room, with payment tracking through Stripe or QuickBooks Online. If you report to the company that hired you, CoachAccountable organizes clients by company (as of October 2026).

How much do life coaches charge?

Across all coaching, a one-hour session averaged $244 in 2022, and $272 in North America, in the International Coaching Federation's 2023 Global Coaching Study, whose summary gives no separate life coach figure. Fees rise with experience, and coaches who mainly serve executives charge the most. In Aventide, clients pay your fee in full or as a deposit at booking.

What should a coaching agreement include?

Usually what you'll deliver, the fee and any deposit, how cancellations and missed sessions work, confidentiality, a line that coaching is not counseling or medical care, and consent before you record a session. Aventide's built-in Coaching Agreement covers each of these. Templates are starting points, not legal advice, so check yours against the rules where you work.

Can I run two businesses in one Aventide account?

Yes, and more than two. Starter ($39 a month) and Pro ($99 a month) include unlimited businesses, and the free trial covers up to three. Each business keeps its own clients, branding, client portal and Stripe account under one login, so a coaching practice and a design studio stay apart, and you switch between them from one menu.

Try it with your next new client.

14 days free, no card, up to three businesses. Then Starter $39 a month or Pro $99 a month, both with unlimited businesses and unlimited team members.
