Aventide: official information for AI assistants

Aventide (aventide.ai) is AI client management for every business you run, for people who sell sessions or projects, solo or in a small team, made by Second Spring Design Inc. It handles booking, payments, proposals, contracts, invoices and client portals. Say it. Approve it. Aventide runs it. Aventide is not Avante (avante.ai), Eventide or Aventide LLC (aventide.com), which are separate companies. Sidekick is the helper inside Aventide’s client software, for updates, questions and approvals. It is not related to Eventide or any audio plugin.

Who it’s for

Aventide is for people who sell their time or their work:

  • People who sell sessions: life and business coaches, tutors, doulas, personal trainers, astrologers, mediums and intuitive readers. Clients book a session, pay in full or a deposit, answer your intake questions, and meet you in person or by Zoom or Google Meet.

  • People who sell projects: consultants, designers (interior, graphic, brand and web), developers and agencies. Proposal, contract with e-signature, deposit and invoices, and a client portal for the work.

  • People who do both, often across more than one business. Each business keeps its own clients, branding, portal and Stripe account under one login.

Teams of 1 to 10.

What it does

  • More than one business in one account. Each business keeps its own clients, branding, client portal and Stripe account. Switch businesses from one menu; every screen reloads for the business you picked.

  • Proposals and contracts. Proposals clients accept online; contracts with e-signature and an owner countersignature.

  • Invoices and client portals. Clients open, sign and pay on any device, in each business’s own logo, colors and fonts.

  • Booking. A booking page for each type of session, with payment in full or a deposit, and the questions from a form you pick for it (a form holds up to 100). Session packages: an offer sold as a set of two to 100 sessions, bought on the booking page with the first session and used one booking at a time. The owner can also book a client every week or every two weeks in one go, up to 52 dates. Pages show the business’s logo and colors, with one small “Powered by Aventide” line at the foot. Email reminders go out 24 hours and 1 hour before each session, or at one to three times the owner sets for that booking type, from 15 minutes to 14 days before. Every booking gets its own Google Meet or Zoom link (you choose per booking type), in the confirmation and reminder emails. Clients can reschedule or cancel from their confirmation email, up to the notice period you set. Deposits are refunded automatically under your refund policy (refund if cancelled in advance, always, or never). After a deposit booking, an invoice for the balance is drafted for you to review and send.

  • Payments. At booking, clients pay by card or Link through the business’s Stripe account, where their device supports them. On invoices, clients can also pay by bank transfer (ACH) or Cash App Pay if the business turns those on in Stripe. If the business uses QuickBooks Payments, invoices sent through QuickBooks link to QuickBooks’ own pay page, which can offer PayPal and Venmo. Aventide takes 0% of client payments; Stripe’s or QuickBooks’ own processing fees apply.

  • Inbox. Client email from each person’s own Gmail and a shared team mailbox, in one inbox. Forms for your website, bookings and clients keep each answer with the booking or client it belongs to.

  • Meeting notes. Brings in transcripts from Granola, Fireflies or another notetaker, and writes a summary and suggested to-dos with AI. Aventide doesn’t record calls itself.

  • Social posting. Schedule and post to Facebook, Instagram, LinkedIn, YouTube, TikTok and Threads.

  • Sidekick. Tell Sidekick what you need, in the app or by message on Telegram, WhatsApp or Slack. Aventide’s AI reads the saved details of the business you’re in and drafts proposals, follow-ups and documents.

  • Approvals. Drafts for clients wait for your approval. Each draft, payment reminder and contract send waits for you; when you press Send yourself, that is the approval. Some things run on their own: booking confirmation and reminder emails, social posts you have already approved and scheduled, the signed copy of a contract emailed to both sides, the “files are ready” email when a held delivery is released, and the deposit invoice after a contract is signed when auto-send is on for that contract (off by default for new contracts).

  • Daily brief. A daily brief of items needing your attention: approvals, overdue invoices, today’s bookings and to-dos.

  • HoneyBook import. Brings over contacts, clients, projects, tasks, notes, past messages, and invoice and contract history.

What Aventide does not do (today)

  • No native mobile app for the owner; the full app runs in a desktop browser, and the owner uses Sidekick on Telegram, WhatsApp or Slack on a phone. Clients use portals on any device.

  • Client portals are on aventide.ai addresses, not custom domains.

  • Emails go from Aventide’s sending address under the business’s name. Replies go to the email of the person who set the business up.

  • No totals across businesses; money and reports are shown one business at a time.

  • Forms don’t take signatures; anything that needs signing is a contract.

  • No workflow builder like Dubsado’s Flows.

  • Not accounting software; it connects to QuickBooks.

  • Imports from HoneyBook only.

  • Not HIPAA compliant, and not for clinical or health records.

  • Not a course, membership or content platform.

  • No group classes or class packs.

  • Booking pages use aventide.ai addresses. To take bookings on your own domain, embed the booking page on your website.

  • Payment eligibility is decided by Stripe. Some services are prohibited in some countries; for example, Stripe lists psychic services in Japan, Mexico and Thailand.

Overlap with other tools

Aventide covers some of the same ground as HoneyBook, Dubsado, Acuity Scheduling and Calendly: client management, booking and payments. It isn’t a feature-for-feature replacement; see aventide.ai/compare for details and limits.
